MINUTES REGULAR MONTHLY BOARD AUDIT MEETING
THURSDAY, JANUARY 26, 2017
After the Clerk led the Pledge of Allegiance to the Flag at 7:00 P.M. the Supervisor called the meeting to order @ 7:00 P.M. at the Hollis Town Hall, 6430 West Wheeler Road, Mapleton, Illinois 61547-9615.
Board Members Present for Roll Call:
Supervisor Gary W. Thomas; Clerk Kelsey A. Archer; Trustees: William J. Gerdes, Sandra E. Fruge, James E. Bailey and Brian B. Fengel.
The Supervisor announced a quorum was present.
The Road Commissioner Dennis R. Beckman and the Tax Assessor Alice B. Dailey attended this meeting.
APROVE MINUTES of Previous Meetings:
Prior to tonight’s meeting, copies of Minutes from the Regular Monthly Meeting held on Tuesday, December 29, 2016 were distributed to Board Members for their review.
MOTION to accept the Minutes as presented made by Jim Bailey; second Bill Gerdes. The motion passed unanimously with all ayes.
AUDIT CURRENT EXPENDITURES, Investments, Transfer of Funds, Budget Line Item Transfers:
1. MOTION to accept for payment all Town Fund Invoices as presented to the Board on the Disbursement Summary January 26, 2017 in the amount of $ 6,664.02.
Motion Brian Fengel; second Bill Gerdes. The motion passed with all ayes on a roll call vote.

2. MOTION to accept for payment all General Assistance Expenditures as presented to the Board on the Disbursement Summary January 26, 2017 in the amount of $ 735.00.
Motion Bill Gerdes; second Jim Bailey. The motion passed with all ayes on a roll call vote.

3. MOTION to accept for payment all Road & Bridge Fund Invoices as presented to the Board on the Disbursement Summary January 26, 2017 in the amount of $ 19,262.10.
Motion Brian Fengel; second Jim Bailey. The motion passed with all ayes on a roll call vote.

4. MOTION to accept & approve for reimbursement to Road Commissioner, Dennis R. Beckman a total of $137.00 included in check no. 13157. His personal credit card receipts are attached to this Board Audit and is presented and included as part of the Road & Bridge Fund Invoices this
January 26, 2017 as approved and included with Motion #3.
This expense was a Holiday Lunch for 6 Road District Employees, and the Road Commissioner, on December 15, 2016 @ Tyroni’s Italian Café in Bartonville, with dessert purchased elsewhere.

5. MOTION to accept & approve the reimbursement to Road Commissioner, Dennis R. Beckman a total of $51.91 (with a cash receipt, which was reimbursed to him from the Road & Bridge Petty Cash Fund) and is presented and included as part of the Road & Bridge Fund Invoices this
January 26, 2017 as approved and included with Motion #3.
This expense was Lunch for 5 Road District Employees, on August 16, 2016 at Good Tequilas Restaurant in Bartonville. The men were pouring concrete gutters on Lafayette Ave. and had to work through their regular lunch time. The restaurant is in close proximity to the work site.

6. MOTION to accept for payment the Joint Bridge Fund Invoices as presented to the Board on the Disbursement Summary January 26, 2017 in the amount of $ 1,461.96.

TOWN BUSINESS ~ A current list of Hollis Township Elected Officials, who are required to complete a STATEMENT OF ECONOMIC INTEREST , was requested by the Peoria County Clerk’s office. That list has now been sent prior to the required due date February 1, 2017. Each elected official will receive a blank form to be completed and submitted to the Peoria County Clerk’s office.
NOTE: Our office needs a copy of your completed Statement of Economic Interest; therefore,
as in previous years, please bring your completed Statement to the office (to our Regular Monthly Meeting ASAP). Our clerk will take the original and a copy to the Peoria County Clerk’s Office for filing & to have them date stamped prior to May 1, 2017. Your receipt will be returned to you; we will keep a full, date stamped copy in our office for our Auditors to review.

ROAD BUSINESS ~ Highway Commissioner:
1. During the last ice storm January 14, 2017, Hollis Road District used about 50 tons of salt on our roads, which is half of our second shipment purchased the end of December. The Road Commissioner is hopeful that 50 tons of salt will get us through the remainder of this winter.
2. There have been minor brake repairs to our trucks this month.
3. The road crew is continually fixing pot holes on many of our roads, as well as patching the edges of McCullough Road which is seriously deteriorating. There is more traffic and faster traffic on McCullough Road since last year when Peoria County closed the Bridge on Lancaster Road on the east side of Lake Camelot.
4. The culvert work on one side of Powell Road has been completed for now and is stabilized for the winter. Caution delineators have been placed around that culvert area to alert drivers.
5. The Peoria County Highway Department Motor Fuel Tax Report for Hollis Township /
Dated January 13, 2017, shows Hollis Township’s balance as of January 3, 2017 as a positive
$ 6,229.55 after the December allotment of $3,296.76.

TAX ASSESSOR’S OFFICE / Information:
Alice Dailey has submitted her Tax Assessor’s Budget Request for 2017-2018 which is unchanged from the 2016-2017 Budget.
OLD UNFINISHED BUSINESS: none.
NEW BUSINESS:
1. All Hollis Township Officials and employees should receive their W- 2’s for 2016 no later than January 31, 2017. (Board Members will find their W-2’s with their meeting information tonight).
2. All businesses, or individuals who are required to receive 1099’s for 2016 from Hollis Township should also receive their 1099’s no later than January 31, 2017.
3. MOTION to adjourn made by Jim Bailey; second Brian Fengel. The motion passed unanimously. Meeting adjourned at 7:33 P.M.
