MINUTES ~ MONTHLY BOARD AUDIT MEETING
THURSDAY, FEBRUARY 27, 2020
After the Clerk led the Pledge of Allegiance to the Flag, the Supervisor called the meeting to order @ 7:00 P.M. @ the Hollis Town Hall, 6430 West Wheeler Road, Mapleton, Illinois 61547-9615.
Board Members Present for Roll Call:
Supervisor William J. Gerdes; Clerk Linda A. Phillips; Trustees: Russell Zeine, Jr.,
Rhonda L. Hodges, Maryann S. Morrison and Rich D. Murray.
The Supervisor announced a quorum was present.

The Road Commissioner, Dennis R. Beckman attended this meeting.
Tax Assessor, Alice B. Dailey attended this meeting.
There were no visitors. There were no corrections or additions to the agenda.

APPROVE MINUTES of Previous Meetings:
Prior to tonight’s meeting, copies of the January 30, 2020 ~ Minutes from the Regular Monthly Meeting were distributed to Board Members for their review.
MOTION to accept the Minutes as presented made by Murray; second Hodges.
Motion passed unanimously with all ayes.

AUDIT CURRENT EXPENDITURES, Investments, Transfer of Funds, Budget Line Item Transfers:
1. MOTION to accept for payment all Town Fund Invoices as presented to the Board on the
Disbursement Summary February 27, 2020 in the amount of $ 6,263.18.
Motion Hodges; second Murray. The motion passed with all ayes on a roll call vote.

2. MOTION to accept for payment all General Road Fund Invoices as presented to the Board on the Disbursement Summary February 27, 2020 in the amount of $ 22,342.96.
Motion Morrison; second Hodges. The motion passed with all ayes on a roll call vote.

3. MOTION to accept for payment all Monthly Invoices as presented to the Board on the addendum to the Disbursement Summary February 27, 2020 in the amount of Town $337.42 and Road $5013.99 for a total of $5,351.41.
Motion Morrison; second Zeine. The motion passed with all ayes on a roll call vote.

TOWN BUILDING, GROUNDS & EQUIPMENT: Discussion regarding whether we want to hire someone to clean the administrative building once a month. Will vote on this next month. Discussed the fact that the doors to the administrative building need to be painted. Trustee Zeine will look into that.
COMMUNICATIONS & Correspondence Received correspondence regarding zoning issue and General Assistance training. No action taken at this time.

CLERK BUSINESS / Business & Comments: None
ROAD BUSINESS ~ Highway Commissioner:
1. Denny reported that Pat Meyer had given him an update regarding Ameren and Hurst Road and the repair to it..
2. The Peoria County Highway Department Motor Fuel Tax Fund - Report for Hollis Township: No report received.

TRUSTEES/ Information / Business: none
TAX ASSESSOR’S OFFICE / Information / Business: Advised that she was working on the problem of her program dropping off buildings, such as garages, from her tax role.

OLD UNFINISHED BUSINESS: The Board voted to proceed setting up the ICS (Sweep) Accounts having all accounts grouped together planning to switch to this around the end of March effective April 1 to coincide with the end of our fiscal year.
NEW BUSINESS: Look into changing the date of the monthly Board Meeting to the 3rd week of the month in the fiscal year beginning April 1, 2020.
MOTION to adjourn made by Morrison; second Murray. The motion passed unanimously with all ayes.
